There is no single “correct” managed IT price. The useful comparison is what the service includes, how well it matches the business and what responsibilities the provider is actually taking on.

Compare managed IT proposals line by line. A slightly higher monthly fee can represent better value when it includes proactive maintenance, security, monitoring and clear accountability.

1. Start with scope, not the headline price

Two providers can quote very different figures while offering completely different services. Compare users and devices covered, support hours, monitoring, Microsoft 365 administration, security, backup oversight, projects and onsite support.

2. Understand common pricing models

Managed IT is often priced per user, per device or through a tailored monthly service. Some providers also charge separate onboarding, project or out-of-hours fees. Ask for a clear explanation of recurring and one-off charges.

  • Per-user support can be simple when staff have several devices.
  • Per-device pricing may suit environments with many shared devices.
  • Tailored pricing can make sense for complex infrastructure.
  • Project and emergency work should be clearly separated from the recurring service.

3. Check what security is included

Security should not be assumed simply because a provider calls itself an MSP. Ask whether MFA, endpoint protection, patching, email security, backup oversight, vulnerability reviews and security advice are included or separately charged.

4. Look at service levels and accountability

Understand support hours, target response times, escalation, communication and what happens when an issue affects multiple users.

5. Judge value by outcomes

The best-value provider is not necessarily the cheapest. Look at whether the service reduces downtime, keeps systems maintained, improves security, gives you useful documentation and provides a clear route for technology improvements.

6. Questions before signing

Ask for a written service scope and exclusions. Confirm onboarding, account ownership, documentation, exit arrangements and additional charges.
